When collaborating on files or organizing shared assets across different departments, Nyota Drive offers two ways to reference files: Adding a Shortcut or Making a Copy.
Understanding the difference between these two actions is critical for managing your workspace storage quota and avoiding duplicate billing charges.

└─────────────────────────────────┘ └─────────────────────────────────┘2. Feature Comparison: Shortcut vs. Physical Copy
Attribute | Shortcut (drive.shortcuts) | Physical Copy (drive.files) |
Storage Quota Consumed | 0 MB (Zero Bytes) | Consumes 100% of file size (e.g., +2 GB) |
Storage Billing | Free (Billed to original owner) | Billed to the workspace that made the copy |
Updates & Synchronization | Live Sync: Automatically reflects edits | Independent: Does not receive source edits |
Source File Deletion | Shortcut becomes inactive ( | Copy remains safe and accessible |
3. When to Use a Shortcut vs. a Copy
Use a Shortcut when:
- You want to access a central file (e.g., company brand guidelines or standard contract templates) from multiple department folders without paying for duplicate storage.
- You want team members to always view the latest edited version of a document automatically.
Use a Physical Copy when:
- You want to create an independent snapshot or draft that you can edit, annotate, or delete without affecting the original.
- You are receiving a critical file from an external collaborator and need a permanent record that will survive even if the original creator deletes their account.
4. Step-by-Step Instructions in Web Console
How to Create a Shortcut:
- Open drive.nyotaimara.com.
- Right-click on the file or folder (or click the
...menu). - Select "Add Shortcut".
- Choose the destination folder or department Organizational Unit (OU).
- Click "Create Shortcut". (Your storage usage remains unchanged).
How to Make a Physical Copy:
- Open drive.nyotaimara.com.
- Right-click on the file and select "Make a Copy".
- A new independent file prefixed with
Copy of...will be created, and the corresponding storage size will be added to your active workspace quota.
5. Common Pitfalls & How to Troubleshoot
Pitfall A: "I created a shortcut to a 10GB folder, but my storage didn't increase—is this a bug?"
- The Explanation: Working as intended! Shortcuts are lightweight database pointers that consume 0 MB of your storage quota. Storage is billed strictly to the workspace that physically uploaded the original files.
Pitfall B: "My shortcut shows 'Target Object Deleted'."
- The Cause: The original owner moved the source file to the Trash bin or permanently deleted it.
- The Resolution: Contact the original creator to restore the file from their Trash bin at drive.nyotaimara.com/trash.
